Are you brand new to SAP?

If you are brand new to SAP and have limited experience, we recommend that your first step be the completion of the Getting Started with SAP Business Client course in Canvas provided by ITAC.

Are you new to Budgeting?

If you are new to budgeting and budget classes are not available, one-on-one training with a budget analyst can help you get up to speed in the tasks that are specific to your job and situation. We do recommend you sign up for the next available set of classes once registration opens to help you continue to learn in your new role.

Budget Classes!

Although budget classes do not have prerequisites, we recommend that budget classes be taken in the order shown below. Each class will build on the next helping you reach your SAP and budgeting proficiency goals.

Even if you have previously taken these classes we encourage you to refresh your knowledge by retaking these classes periodically. This will help you stay current with the latest developments for budgeting and SAP.

  • This class if for anyone who is an account manager, or assistant to an account manager that is responsible for budgeting, maintaining, or monitoring accounts at Texas State.

    The class is designed to introduce the user to fund accounting concepts, account structure at Texas State, and how budgeting works in connection with the fund types.

    Account structure is outlined in detail. The class also discusses rules around transferability between funds or fund groups.

    Finally, the class will instruct the end user on two important elements of budgeting by type of fund: how to read an account in budget to actual and what happens to the account at the end of the year.

    You will get the most out of the class if you have a list of your accounts readily available to reference. 
     

  • This class will familiarize you with basic terminology and report functionality in SAP and build the foundation for advancement to budget, grant and/or time reporting as well as other SAP tasks. This class does not emphasize any particular report, instead the focus is on the approach to the report process: how to pull up information, sort it, filter it, use wildcards, work with layouts, create variants and export data.

    This class is now available in the SAP Portal as a self-paces online course. 
     

  • This class will cover the Budget to Actual (ZBUDACT) and Budget Balance (ZBUDGETBALANCE) reports. Discussion will include the following topics:

    • Report available budget
    • Verify budget, actual revenue and actual expense postings
    • Verify encumbrances
    • Reconcile monthly actual postings
    • Compare prior year and current year expenditures
    • Look up reserve/fund balances for fiscal-year and multi-year funds
    • Funds crosswalk

    Budget to Actual and Budget Balance will not report accounts with fund numbers that begin with 8. If your accounts begin with 8, please skip this class and contact the Office of Research & Sponsored Programs.

  • This class is for users who are already accustomed to working with SAP as well as with the budgeting process itself.

    The following commonly used budgeting reports will be covered:

    • ZOVERBUDGET – Over Budget Detail Report
    • FMBB – Budgeting Workbench
    • FMEDDW – Drilldown for Budget Entry Documents
    • ZOPEN_ENCUMBRANCE – Current Open Encumbrance Report

  • Salary Budgets is for users who are responsible for tracking and reconciling salary and salary-related actions for their organizations. This class is designed to help you understand the following topics:

    •    HR related transactions
    •    Basic terminology
    •    The integration between HR data and budget data
    •    Identify permanent vs temporary salary budgets
    •    Research and reconcile salaries

    The reports covered include:
    •    ZFIPOSBUD – Annual Position Budget Report
    •    ZFM_SAL_RECON - Salary Reconciliation Report
    •    ZFISALFRINGE - Salary Fringe Report
    •    PA20 - Display HR Master Data
    •    PO13D - Display Position


Most of our classes include hands-on activities using your actual accounts. Prior to the class, be sure you have the necessary levels of security access in SAP and know your account numbers. If you need assistance with either of these please feel free to contact our office.
